Every list of documents in the Explorer can be narrowed. Type a few words of a document's name into the Search or filter documents field in the top bar, or pick a filter chip under the page title. Both edit the same search, so a chip you pick shows up in the field, and a filter you type lights its chip. On a phone the field sits on its own row under the logo.
Words match the document's name, ignoring capitals and accents ("cafe" finds "Café"). With several words, a document has to contain all of them.
Where it works
- My documents, a folder, a team, and This browser. The search stays inside the place you are in, and reaches into every folder below it: the list shows each matching document once, with the folder it lives in beside its name. Folders step aside while a search is set and come back when you clear it.
- Recent, Favourites, Shared with me and Search results gather documents from everywhere, so they add a Space chip: My documents, Shared with me, or one of your teams.
- Home, Activity, the Library pages and Trash have no list of documents to narrow. Typing in the field there opens Search results, every document you can open, narrowed by what you typed.
The chips
| Chip | Keeps documents that |
|---|---|
| Opens in | Were created to open in Diagram, Draw, Illustrate or Plan mode |
| Kind | Were created as an Event Storming board |
| Template | Were made from a Retrospective or Kanban template |
| Made by AI | An AI tool made for you; they also carry a Made by AI badge wherever they are listed |
| Edited | Were last edited today, in the last 7, 30 days or 12 months, or this year |
| People | You own (Me), or someone else owns (Others) |
| Space | Live in My documents, are shared with you, or are in a team (gathered lists only) |
Click a chip to open its list and tick values; Any at the top unsets it. Made by AI has only one value, so it is a simple on/off toggle. A chip can hold several values: picking Retrospective and Kanban keeps both. Different chips narrow together: Template and Edited keeps the retrospectives you edited in the last 7 days. Clear at the end of the row empties the search.
A document made before livediagram recorded how it was created has no Opens in, Kind or Template, so setting one of those chips hides it; it shows again once they are back on Any. Documents in Shared with me don't carry that information either, so the Opens in, Kind, Template and Made by AI chips leave them out of a gathered list.
Typing filters
The field takes filters as words too, the way the chips write them:
made-by:aikeeps what an AI made.template:retrospective, kanbankeeps both template families.edited:7dkeeps what you edited in the last 7 days;today,30d,12mandthis-yearwork too.opens-in:draw(ordiagram,illustrate,plan),kind:event-storming,people:meorpeople:others, andspace:mineorspace:sharedwork the same way. A team is offered by name as you typespace:.
As you type, suggestions appear under the field: use Down and Up to move through them, Enter or Tab to take one, and Esc to close the list. A suggestion marked No matches would leave nothing in the list on its own. A finished filter becomes a pill in the field, with a × to remove it; Backspace at the start of the words selects the last pill, and a second Backspace removes it.
A word that looks like a filter but isn't one, such as colour:red or edited:yesterday, is searched as plain text, and the Explorer says so under the chips, so a typo never hides documents silently. A Space filter typed on My documents, a folder or a team does nothing there, because the place you are in already sets the space; the note under the chips says so. The search reads at most 512 characters.
Share a search
The search lives in the page's address, so copying the link shares exactly what you are looking at. Moving between Recent, Favourites, Shared with me and Search results keeps your search; opening a folder or a team starts afresh. A search is not remembered for next time.
